Terms and Conditions

Booking

• When booking is made the lead passenger must be 18 or over & accept the terms and conditions on the behalf of the group.
• Lead Passenger accepts the financial responsibility for the payment of the booking on behalf of the group
• When making the booking you must pay required deposit or full amount (depending on the chosen date of your holiday)
• Booking will be confirmed via email

Paying

• You must pay the balance by the due date
• If the balance is not paid by the due date we reserve the right to treat your booking as cancelled
• Cancellation charges apply

Changing your booking

• 7 days’ notice
• Inform us at (info@ukcoachtours.com), you must include the main passenger name on the booking.
• We will do our best to assist, we cannot guarantee to meet your requested change
• Where we are unable to assist you and you do not wish to proceed with the original booking, we will take this as a cancellation from you and an administration fee will apply.
• If you or any member of your party is unable to travel, it may be possible to transfer your place to another suitable person.
• We are unable to make changes to a holiday booking if there’s less than 14 days before departure

If we cancel your trip/holiday

• We reserve the right to cancel any holiday due to circumstances beyond our control including having to cancel because not enough people have booked for the holiday.
• Cancellations due to low bookings are very relatively rare and we will endeavour to inform you 10 days prior departure & offer alternative dates or holidays subject to availability.

Cutting your holiday short or extending

• If you decide to return home early, we cannot refund you for any services you have not used. If you cut your holiday short and return home early in circumstances where you won’t have a reasonable cause for complaint about the standard of accommodation or services provided, we will not offer you any refund for that part of your holiday not completed or be liable for any associated costs you may incur.

Conditions of carriage

• You are responsible for ensuring you are at the correct departure point at the correct time for outward and return journey. This also applies to all comfort stops and excursions through out the journey.
• We reserve the unconditional right to terminate a client’s holiday in the event of unreasonable conduct which causes, distress, danger, or annoyance to other clients.
• We cannot accept liability for delays, disruption, or cancellations of your holiday due to traffic, weather conditions, strikes or any other reasons outside our reasonable control.
• We do not accept the responsibility for loss and damage for clients belongs, left on the coach unintentionally or otherwise.
• Baggage allowance is one medium suitcase which weighs 17kg’s no more than that.
• Your luggage is your responsibility. You need to make sure your luggage is being loaded, we do not take responsibility for any items left behind.

Complaints Procedure

• Your driver/Tour manager should be able to help with any minor problems or queries during your holiday.
• If it’s more of a serious problem for example, If you have a problem with the accommodation you can email the hotel management. If for some reason you don’t get a response within 7 days, you can make an official complaint with ukcoachtours. Email us & we can look into it.
• We endeavour to deal with any complaints as quickly and fairly as possible.

Coach seat allocation

• We regret we cannot guarantee requests for particular seats

Non-smoking non-Alcoholic coaches
• Smoking including the use of e-cigarettes and the consumption of alcohol is not allowed on any coaches operating MY-TOURS holidays and day trips.

Passport and visa requirements

U.K. Citizens travelling abroad must have a valid passport. U.K. citizens do not require a passport to travel by coach to the Republic of Ireland. Non U.K. citizens may also require a visa and should check with their appropriate embassies. It is your responsibility to check and fulfil the passport, visa, health and immigration requirements applicable to your itinerary. We can only provide general information about this. Most countries now require passports to be valid for at least 6 months after your return date. We do not accept any responsibility if you cannot travel, or incur any other loss because you have not complied with any passport, visa, immigration requirements or health formalities. Note: Passports are required for all Cruise Holidays for security reasons, regardless of the itinerary.

Data Protection

In order to process your booking and ensure that your travel arrangements can be properly performed, we need to collect certain personal details from you. These will include, where applicable, the names and addresses of party’s members, credit/debit card or other payment details and special requirements such as those relating to any disability or medical condition which may affect the chosen holiday arrangements and any dietary restrictions which may disclose your religious beliefs. We must pass on your personal details to the companies and organisations who need to know them so that your holiday can be provided (for example hotels, transport companies, credit/debit company or bank). The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or otherwise as required by law. Where you provide us with personal details such as those mentioned above, you consent to this information being used as described above. We are entitled to assume you do not object to our doing any of the things mentioned above unless you tell us otherwise in writing. We have appropriate security measures in place to protect the personal details you give us. We may have to pass your details to organisations outside the European Economic Area, (EEA), controls on data protection in these places may not be as strong as the legal requirements in this country. You are generally entitled to ask us (by letter or e-mail) what details of yours are being held or processed, for what purpose and to whom they may be or have been disclosed. Covid 19 Rules

9 Covid-19 (coronavirus)
We offer a full refund for any holiday / day trip that you have booked through ukcoachtours if the country you are visiting has closed its borders. It is your responsibility to check the local government entering conditions, we take no responsibility for refusal to entry for a country (no refunds).
Before you travelProof of vaccination in paper form Get your NHS COVID Pass letter - NHS (www.nhs.uk) it is your responsibility to organise the required documents if you are vaccinated / non-vaccinatedDepending on your destination you may need to take a PCR or lateral flow test within 72 or 48 hours of travelling which we suggest you pre- order – there are many sites to choose from such as Pre-departure - Covid Randox. It is our recommendation that you have several paper copies of your Covid pass letter.

While you are away you are required to complete a Passenger Locator Form before heading back into the UK. Fill in your Passenger Locator form at GOV.UK: https://www.gov.uk/provide-journey-contact-details-before-travel.
